1. WHAT IS REVO KDS 2
We understand that efficiency in the kitchen is key to a restaurant’s success. That’s why we have worked to create a more powerful, agile, and customizable tool.
With Revo KDS 2 (Kitchen Display System), we move away from working with a printer and turn it into a kitchen management system.
By improving its operability and usability, KDS 2 stops acting as a printer and expands its capabilities, adapting to each dish and to the needs of the business.
The KDS takes over from the POS in the kitchen, managing the operational flow there with the same efficiency that the POS provides in the dining area.
And if we add to this, as in the case of Cegid Revo, that the KDS is part of a comprehensive suite of technological solutions, the result is even greater.
The kitchen screen or Kitchen Display System (KDS), being connected to the waiters’ point-of-sale software, makes communication between the dining area and the kitchen more fluid. This technology represents a major operational improvement: head chefs can quickly check the status of all dishes, and cooks can receive, read, and archive orders with just a few clicks—without digging through paper tickets and minimizing the stress of teams that are already at their limit during peak hours.
In addition, it is the only paperless method for managing orders, reducing the ecological footprint of any restaurant.

2. WHAT’S NEW IN REVO KDS 2

From Printer to Kitchen Management System:
With Revo KDS 2, we have taken the classic KDS to the next level, transforming it into a comprehensive kitchen management system. Revo KDS 2 is no longer just a printer that handles "tickets" but becomes a kitchen management system that efficiently manages all orders, optimizing every stage of the dish preparation process. -
Larger and More Responsive Screen (iOS + Android - MicroTouch):
Now with KDS 2, we can use the app on the new MicroTouch screens. With an optimized size, they are fast, responsive, and easy to use. They perfectly adapt to your workflow, ensuring a smoother experience. It is now possible to combine iPads + Android Monitors.
Two Android screen models available:

Requirements to use Revo KDS 2 on iPad and Android MicroTouch monitor:
- Revo XEF: Revo KDS 2 works together with Revo XEF, but not independently.
- Revo XEF Advance version: In order to receive orders on KDS 2 devices, the Revo XEF Advance version must be installed.
- Dedicated iPad and Android MicroTouch monitor: Install Revo KDS 2 on an iPad/MicroTouch Monitor exclusively dedicated to this use.
- Power connection: Make sure it has access to a power outlet to prevent it from running out of battery during service.
- Screen always on: Set the iPad/MicroTouch Monitor so that it never turns off, as this could cause connection errors when sending orders from Revo XEF. In Settings on the iPad or MicroTouch Monitor, go to Display & Brightness, then Auto-Lock. Select Never to prevent the iPad/MicroTouch Monitor from turning off while using the application.
- Disable notifications: We recommend disabling all Notifications in Settings on the device.
- For iPad, download the Revo KDS 2 app from the App Store. For the Android MicroTouch monitor, you will find the KDS 2 app already installed on the device, and if not, you can download it from the Google Play Store.
- Static IP: The iPad device and/or Android MicroTouch monitor must have a static IP address.
Assign a static IP:
- Go to Settings on your iPad/MicroTouch Monitor.
- Tap on Wi-Fi.
- Tap the information icon of the connected Wi-Fi network.
- Select Configure IP.
- Choose Manual (it must remain selected ).
- Manually enter the IP address, subnet mask (usually: 255.255.255.0), router, and save the changes.
- Go to Configure DNS.
- Choose Manual (it must remain selected ).
- Manually enter a DNS address (8.8.8.8) and save the changes.
- Return to the previous menu by tapping Wi-Fi.
Recommended: The static IP must be outside the range of dynamic IPs assigned by the router or the device managing the network.
Make sure that all devices, including those that will use KDS, are connected to the same Wi-Fi network.
IMPORTANT:
- We must have only one version of Cegid Revo KDS installed on each device. Avoid installing both Cegid Revo KDS 2 and Cegid Revo KDS simultaneously on the same device/account to prevent potential issues.
4. HOW TO REQUEST/BUY A MICROTOUCH ANDROID MONITOR
You can request/buy a MicroTouch Android monitor by accessing the portal.
Once inside the portal:
1. Go to the Self-Service section.

2. Select Purchase KDS 2 Screens.

3. Choose the MicroTouch monitor model you want to purchase and indicate the quantity.
4. Confirm the purchase.
5. SETUP IN REVO
Important: To receive orders on KDS 2 devices, the Revo XEF Advance version must be installed.
First, we must activate the Revo KDS 2 license in the Revo XEF account.
Once the license is activated, access the back-office of Revo XEF.
Within the back-office, you will find the following section: KDS 2

5.1. KDS DEVICES:
In this section, we will create our Revo KDS 2 devices.
1. Click on + New to create the KDS 2 device.
2. Enter the Name of the device.
3. Enter the device’s IP address.
4. Click on Save.

Once the Revo KDS 2 devices have been created, it is not necessary to associate them with the catalog. In Revo KDS 2, by default, all products will always be sent to all devices. Later, by configuring profiles, we will choose what information we want to see on each KDS 2 device.
5.2. SETTINGS:
In this section, we will configure the general settings for all KDS 2 devices.

BEHAVIOR
-
Menu display: Choose how you want to display menus. Select one of the two options:
- Standard: Displayed the same way as in Revo XEF.
- Regular products: Menu products are displayed together with à la carte products.
-
Group contents: Enable this option to group identical products by default. If disabled, they will be displayed and can be marked individually.
Example: If 2 Burger Shark are sent, it will appear as 2 Burger Shark instead of 1 Burger Shark and 1 Burger Shark. This means that if products are marked as completed, they must be marked once both have been prepared. -
Automatically close when finished: When on a KDS 2 device we mark all dishes in an order as completed:
- No: The order will not close automatically, but we will be asked if we want to close it.
- Yes: The order will close automatically on all devices without notice.
- No, and don’t ask: The order will never close automatically on other KDS 2 devices and no confirmation will be requested.

Order information: Select what information you want to display at the top of the order.
- Waiter: The name of the waiter who opened the order.
- Account: The account from which the order was sent.
-
Auto-notify Revo XEF when closing the order: Enable this so the KDS notifies the Revo XEF app when an order is ready.
-
Auto-print individually marked products: With this option enabled, when marking a product as completed, an individual ticket will be automatically printed.
This option disables printing of the general ticket. -
Default flow: Select the status flow that will be applied by default at this KDS station if none is specifically defined in the catalog; it will appear as "--".
A “flow” is the sequence of statuses (e.g., Pending → In preparation → Ready) that dishes go through. The “+” button allows you to create new custom flows. -
KDS Insights: Direct access to the KDS Insights module, where you can analyze how long each dish spends in each status and obtain metrics to optimize kitchen efficiency.
When activating Revo KDS 2 for the first time in a Revo XEF account, the default flow defined in Cegid Revo will always be preselected.
5.3. STATUSES:
In the Statuses section, we can create as many statuses as needed.
Let’s think about a steakhouse and how the preparation of a good ribeye steak is orchestrated.
The meat starts as a “to do” dish and, once on the grill, moves from “seared” to “in progress,” and in the final step, it is “done.” That’s when the waiter picks it up and the ribeye appears on the screen as “served”...
Now imagine what happens in a pizzeria.
A margherita pizza also starts as a “pending” dish, but after preparing the base, it appears as “base prepared.” When tomato and cheese are added, its status changes to “ingredients added,” and then we indicate that it is “in the oven.” Once removed, it is “done,” and, as in the steakhouse example, the waiter picks it up and the pizza appears on the screen as “served.”
Therefore, to create these types of structures, we must first create the statuses and later create the status flows, which define the order of statuses that dishes will follow.

To create a status:
1. Click on + New.
2. Fill in the following information:

- Active: Enabled.
-
Type: Select the type of status.
- To do
- In progress
- Done
- Name: Enter the name of the status.
- Color: Choose the color you want to assign to the status (the color displayed when marking the dish).
- Print: The Print option in Revo XEF KDS statuses indicates whether that status is configured to trigger a physical ticket print in the kitchen or bar. This means that, even if an order has not reached the final visible status (“COMPLETED” or similar), a ticket can be printed at that specific moment to coordinate deliveries or internal processes.
By assigning a different color to each status, cooks can quickly understand what needs to be done and what others are working on.
3. Click on Save.
When activating Revo KDS 2 for the first time in a Revo XEF account, three default statuses (one of each type) will already be created. These three statuses will be associated with the default flow defined by Cegid Revo.
5.4. STATUS FLOW:
In this section, we can create status flows.
A Status flow is the defined order of statuses that our dishes will follow.
As we know, each dish follows its own preparation stages, its own flow, with different timing. However, they all have something in common: they are preparations composed of several steps, often carried out in sequence, forming a process that, when properly managed with the help of technology, leads to better results.
Status management is the essence of Cegid Revo’s KDS 2, differentiating it from basic kitchen screens by allowing full customization for each dish while staying true to its preparation process. This way, you can indicate and visualize which stage each dish is in and use filters to see how many and which dishes are at each step of the process.

As mentioned earlier, in the general configuration we selected/defined a default flow that all products in our catalog will follow. However, if we want certain products to follow a completely different status flow, we can configure it. We explain this below, but first, let’s create a status flow. To do so:
1. Click on + New.
2. Fill in the following information:

- Active: Enabled.
- Name: Enter the name of the status flow.
3. Click on Save.
4. Once the status flow is created, we must associate the desired statuses with it.
4.1 Click on --:
4.2 Select the status.
4.3 Click on Add.

4.4 Once the statuses have been added to the flow, you can change their order using the following button: .

4.5 If you have changed the order of the statuses, to apply the changes click on Save Order.
5. Once the status flow has been created, there are two places where we can assign it:
-
1. In the general configuration.
In this case, we can change it if we do not want to use the flow defined by Cegid Revo. -
2. In a group/category/product.
As mentioned earlier, if we want certain products to follow a completely different status flow from the general configuration, follow these steps:- 2.1 Go to the Revo XEF catalog Groups.
- 2.2 Locate the group/category/product where you want to assign the new status flow and Edit it by clicking on .
- 2.3 In the edit window, find the Status flow field and select the flow you want to assign to that group/category/product.
- 2.4 Click on Save.

When activating Revo KDS 2 for the first time in a Revo XEF account, two status flows will be created by default:
- No preparation: This flow contains no statuses and none should be added. If we assign this flow to a group/category/product, these products will not be displayed on any Revo KDS 2 device. By default, all catalog products use the flow defined in the general configuration. This is useful when we do not want certain products to appear on KDS devices, for example, drinks. It works like a “No Printer” option for printers.
- Default: This is the flow selected by default in the general configuration of Revo KDS 2. It contains the three default statuses defined by Cegid Revo. Never leave this flow without statuses.
5.5. KDS BEHAVIORS:
In this section, we can create Revo KDS 2 Profiles.
Profiles allow us to configure different settings for each KDS device and choose which statuses to display on each of them.
For better operational organization, we can configure all screens simultaneously or select which statuses to display on each device, adapting to the specific needs of each station (fish, meat, cold starters, hot starters...) and simplifying the daily workflow of restaurants operating with multiple sections.
For example, a restaurant with five KDS devices: one for the cold station, one for the hot station, a KDS for the waiters collecting dishes in the kitchen, one for drinks at the bar, and a control KDS for the service manager. Each can view only the relevant statuses: on the cold station KDS, they see dishes “to prepare” or with “ingredients added,” and on the pass KDS, they see dishes “ready to serve” or “served.”

To create a profile, follow these steps:
1. Click on + New.
The following window will automatically appear:

2. In this window, fill in the following fields:

Active: Enabled.

Name: Enter a descriptive name for the KDS 2 profile.

Language: Select the language to use in the app for this KDS 2 profile.
-
Closure type: Determines how and who can close an order or mark dishes as completed on the KDS screen:
- For all KDS: The KDS screen can close associated orders. Offers greater flexibility and allows the team to complete orders from any authorized station.
- Only for my KDS: Limits closure action exclusively to the current screen. In addition to marking the dishes as completed, this option allows a mass action that moves all visible dishes on the screen to the last state defined in the “Statuses” section. Useful for specialized roles, such as pass stations or separate bars, where each KDS controls only its operational scope.

Display type: Choose between Standard or Continuous Flow.

Ticket rows: Define how many ticket rows to show on the KDS 2.
-
Change status on tap: Enable to change the product status by tapping on it.
-
KDS coordination: Enable this to monitor order statuses and content from different kitchen profiles from a single view.
Note: This feature will be available in the next update of the Revo XEF back-office.

Jump to combined order: With this option enabled, when sending a modification to an open order, the KDS will show the combined order and emit a sound.

Seat management: Enable this to show seats in the KDS content.

Sound: Choose the sound for new orders received on KDS 2. Available sounds:

Printer: Select a printer from the list to print pass tickets on KDS. You can create a new one by clicking . More info here.

Print pass ticket on order closure: With this option enabled, the pass ticket prints automatically when the order is closed.

Font size: Choose Large or Standard for the KDS 2 font size.
3. Click on Save.
4. Once the profile is created, associate the statuses to be displayed on each KDS 2 device.
4.1 Click on --:
4.2 Select the status.
4.3 Click on Add.

When activating Revo KDS 2 for the first time in a Revo XEF account, a default profile is automatically created. This profile will contain the three default statuses defined by Cegid Revo.
5.6. TIME MANAGEMENT:
Revo KDS 2 optimizes kitchen time management, ensuring greater efficiency and synchronization. Each dish order now has a single time management system, simplifying the process. Multiple ways to start preparation timing are available, adapting to different workflows. Timing is based on the product and its modifiers, improving precision and organization.

- Green: Dish is in preparation.
- Yellow: Few seconds remaining to complete the dish.
- Red: Dish has exceeded preparation time.
- Light Gray: Time remaining to start preparing the dish.
CONFIGURATION:
Products
First, specify the preparation time for products and modifiers. These times can be configured in the product or modifier detail page. Enter the time in seconds. Example: 180:

If you do not want to track a product’s time, simply leave it at zero.
Time management
Time management is linked to a Dish Order and can be configured in the Time Management section in the KDS 2 back-office of Revo XEF.

Active: Enabled.

Dish order: The dish order associated with this configuration.
-
Start timing:
- Automatically on arrival: Timer starts when the order reaches the kitchen.
- On dispatch: Timer starts when a dish is dispatched.
- On in-progress: Timer starts when a product is set to in-progress.
-
Completing previous dish order: Timer starts when the previous dish order is fully completed.
Note: Multiple selections can be applied simultaneously, allowing multiple ways to start the preparation timer.

Warning threshold: Set as a percentage. The warning appears when a certain percentage of the total preparation time remains. Example: If the threshold is 10% and the total time is 5 minutes (300 seconds), the warning appears when 30 seconds remain. If the total time is 2 minutes (120 seconds), the warning appears with 12 seconds remaining. This allows proportional warnings for any preparation time.

Time management type:
- Start together: Timers for each dish start simultaneously.
- Finish together: Timers start so that all dishes finish at the same time.
Click Save to apply the configuration.
Note: Only one entry can be created per dish order.
5.7. KDS NOTIFICATIONS
The KDS Notifications screen in Revo XEF allows managing how alerts related to different KDS events are displayed and announced. These options enable each kitchen to adapt how it receives information according to its workflow and operational needs.
Steps to configure notifications:
1. Go to the configuration menu in the Back-office and access KDS 2 → Notifications.
2. Enable or disable features according to your kitchen’s requirements:
- Banner: Display the alert on screen.
- Sound: Enable the auditory alert.
- Notification center: Log each event.
- Show notification: Choose when the notification appears.
3. Once configured, click Save to apply changes.

Active: Enabled.

Banner type:
- Dispatch contents: Show notifications when a content is dispatched.
- Dispatch dish orders: Show notifications when a dish order is dispatched.
- Table change: Show notifications when an order’s table changes.
- Order changes: Show notifications when changes are made to an order’s contents.
- Cancellations: Show notifications when an order is canceled.
- Merge orders: Show notifications when a table or order is merged with another.
- Move contents: Show notifications when content is moved between orders.
- New order: Show notifications when a new order is received.

Banner: Enable to show notifications as a small visual banner on the KDS screen.
-
Sound: Play a sound when a notification appears. Useful to alert staff even if they are not looking at the screen.
-
Notification center: Logs each notification in a dedicated panel. This allows reviewing alerts even after the banner disappears or is dismissed.

Show notification:
- Until interaction: Notification remains on screen until the user takes action (e.g., clicks it). Ideal to ensure alerts are not missed.
- Short time (5s): Visible for 5 seconds.
- Medium time (15s): Visible for 15 seconds.
- Long time (30s): Visible for 30 seconds.
Additional Information
- If no records exist, the message "No records" will appear.
- You can create a new entry by clicking New.
This screen improves alert management in the kitchen, ensuring relevant information reaches the team efficiently and adapted to the workflow of each establishment.
6. KDS 2 APP OPERATION
After configuring your iPad/Android MicroTouch Monitor and customizing options in the back-office, follow these steps to use the KDS 2 app:
Open the KDS 2 app and enter your Revo XEF username and password.
6.1. HEADER

1. REVO MENU: Tap the r to access the KDS 2 menu and actions.

- Account: Your Revo XEF account.
- KDS Device: The name of the KDS 2 device associated with its IP.
- Version: Version of Revo KDS 2 in use.
CONFIGURATION
- Update configuration: Sync Revo KDS 2 changes from the Revo XEF back-office.
- Profile: Select a profile from the back-office.
- Statuses: View statuses associated with the selected profile.
ORDER
- Sync orders: Manually synchronize orders.
- Close all orders: Close all open orders.
- Delete closed orders: Remove orders from the closed orders list.
ACCOUNT
- Linked accounts: Associate multiple accounts to manage and view orders from several accounts simultaneously on the KDS screen, optimizing workflow and service control.
Important: To ensure multi-account functionality works correctly, all KDS devices must run KDS 2 version 1.4.0, and other iPads must have Revo XEF Advance 5.2 installed.
- Protect with PIN: Add a protection PIN.
- Log out: Sign out of your account.
- IP: Displays the current IP of the iPad or Android MicroTouch Monitor.
2. Filters: By default, orders arriving at the KDS are sorted by arrival time.

- Search: Search by table name, product, or order number.
- Status selector: Filter by statuses associated with the profile assigned in the Revo KDS 2 app. This allows viewing which stage each dish is in. Multiple selection is supported.
Once the filter is applied, all dishes in that stage are displayed. By default, dishes are ordered by quantity.
3. table_restaurant Offline app indicator.
4. table_restaurant Total number of orders.
5. Total number of diners.
6. Sort: Order of orders.
7. Undo: Revert the last change.
Example: An order was closed by mistake or a dish was marked as "done."
6. Print: Print the pass ticket.
Example workflow:
- Receive the order.
- Mark dishes as completed.
- Tap the icon.
- Collect the printed pass ticket and place it with the dishes.
Ensures waiters know which table each dish belongs to without asking the chef.
Important: A printer must be selected in the KDS 2 profile configuration.
Pass ticket printing only works with ESC/POS driver printers.
7. Closed Orders: Shows a list of all orders closed in the last 24 hours. Contents can be viewed and reopened to send them back to the main screen.
6.2. ORDER ACTIONS
Actions you can perform on orders:

Mark dishes: Tap products to change their status. When all products in an order pass through all statuses, KDS 2 will ask if you want to close the order (depending on "Automatically close when done" setting).
-
Swipe through orders: Swipe left or right to view all received orders.
-
Close order: Two ways:
- Marking all dishes.
- Tap without marking dishes. This closes the order on all KDS 2 devices automatically.
-
View order number: Tap the table name to view the order number. Tap again to return to table number view.
-
Dispatch: Hold a product and tap Dispatch to dispatch a dish from the KDS 2 app.
-
Revert to previous status: Hold a product and tap Revert to previous status. Allows correcting a product’s status even if other orders have advanced.

Tapping the three dots on an order shows:

Print ticket: Print the selected order’s pass ticket.
-
Reprint ticket: Reprint the pass ticket of the selected order.
Pass ticket only works with ESC/POS driver printers.
- Notify XEF: Send a notification to Revo XEF indicating dishes pending collection. Tap the order header to notify. In Revo XEF, a red "chef hat" icon appears on the top-left of the table.
6.3. ORDERS
Open orders display the following:
- Table name.
- Employee submitting the order.
- Number of diners.
- Order number.
- Time the order reached the kitchen.
- Close order button.
7. VIEW DISH STATUS IN CEGID REVO XEF APP
To improve customer experience, the Cegid Revo XEF app now allows waiters to see dish status in the kitchen via Cegid Revo KDS 2.
This lets front-of-house staff monitor each order’s progress without contacting the kitchen directly, optimizing communication, reducing waiting times, and improving service coordination. This results in a smoother experience for both staff and customers.
Steps to use this feature:
1. On the table layout screen, swipe down on an occupied table to reveal a menu with several options.
2. Tap View KDS status.

A new window will automatically open, displaying the status of all dishes in the order:
