In Revo FLOW, you can set up cancellation policies or advance payments for your bookings. This lets you define how cancellations will be handled and what actions will be taken for deposits.

For example, if you wish clients to make a payment upon booking, you can define a cancellation policy that specifies the terms in case of cancellation.


1. HOW TO CREATE A CANCELLATION POLICY

Define the terms for refunding clients if they cancel a booking. You can create multiple policies to adjust for different scenarios.

IMPORTANT: Cancellation policies require integration with Redsys, so you will need a virtual payment terminal (TPV) from your bank.

1. Access the Revo FLOW back office.

2. Go to Settings / CANCELLATION POLICIES.



3. Click +New.



  • Name: Policy name.

  • Policy type:

    • No refund: No money will be refunded.
    • No show: No refund if the client fails to show up.
    • Cancel booking: Set the amount to be refunded if the client cancels.

  • Total booking amount: Enter the required advance payment.

  • Type: Choose whether the refund is calculated per booking or per person.

  • Payment type: Define if the client’s card details are requested to make payment at booking or to be stored (tokenised) for charging only in case of cancellation/no-show.

  • Payment methods: Select a specific method for cancellation payments.

  • Refunds: Set the times and percentages for refunds.

    • Time (Time before the reserved hour) // Percentage (Percentage refunded/charged).

      Guarantee with advance payment:

      24 Hours // 100% = Refund 100% if cancelled 24 hours in advance.
      6 Hours // 50% = Refund 50% if cancelled 6 hours in advance.
      No refund if cancelled within 6 hours.

      Guarantee by storing credit/debit card:

      24 Hours // 0% = No charge if cancelled 24 hours in advance.
      6 Hours // 50% = Charge 50% if cancelled between 24 and 6 hours in advance.
      Charge 100% if cancelled less than 6 hours before booking.

  • Information: Add a link or text with your policy, so the client can see it in the confirmation email or on the widget.

4. Click Save to confirm.

Note that policies already in use cannot be deleted or edited.


2. HOW TO USE THE CANCELLATION POLICY

Once you’ve created the policy, you can assign it to the app, the widget, or both.


IN THE WIDGET

Go to WIDGET and select the cancellation policy:



HOW IT WORKS IN THE WIDGET

During the booking process, the client will see the cancellation policy summary and will need to accept the privacy and cancellation policy. Upon acceptance, the amount payable according to the policy will be displayed.



1. The client clicks I want to book now to make the payment.

2. The Redsys payment gateway opens.

3. After payment, the client is redirected to the widget and receives a confirmation email.

If you do not have a policy active in the widget, the client will receive the confirmation without needing to make a prior payment.


IN THE APP

Go to SETTINGS and select your cancellation policy:



HOW IT WORKS IN THE APP

If the policy is active in the app, the client will receive a link to make the payment. The booking will be pending until the client pays, automatically changing to confirmed once the payment is completed.
